Otter.ai Alternative: 7 Meeting Note Tools Compared (2026)

An Otter.ai alternative is the right search when you want a transcript and a summary, and you do not want the meeting audio to live in Otter’s account. Otter is still a strong notetaker for Zoom, Microsoft Teams and Google Meet. Its desktop app can also record without putting a bot in the participant list. That recording is still processed in Otter’s cloud. If the audio has to stay on the Mac, Otter is the wrong tool, desktop app included.

This comparison uses each vendor’s own pages, checked in October 2026. Prices and plan limits move. Open the linked page before you buy.

What Otter.ai does well

Otter.ai is built around a calendar-connected notetaker that can join Zoom, Microsoft Teams and Google Meet, record, transcribe and summarize. Paid plans add longer meetings, shared notes, templates and more export formats. There are iOS and Android apps. Otter’s help describes how the notetaker shows up in the meeting and how admins set recording permissions (Recording permissions).

The part that changed the “no bot” question: the Otter desktop app for Mac and Windows records without a notetaker in the meeting. Otter’s help says you start a recording in the app and the notetaker does not have to join (desktop app help, as of October 2026). The same page lists macOS 12.3 or later and Windows 10 or later. That path is useful when a client bans extra participants and you are fine with Otter holding the transcript.

It does not make Otter a local app. Otter’s own MP4-to-text page says it uses AWS S3 storage with AES-256 server-side encryption and is SOC 2 Type II compliant. A bot-free recording still leaves your computer.

Otter.ai pricing as of October 2026

Figures below are from otter.ai/pricing in October 2026, plus the Basic-plan help article for the conversation history.

Basic is free. The pricing page lists 300 transcription minutes a month, 30 minutes per conversation, and 3 audio or video imports for the lifetime of the account, not per month. The Basic limits article adds that only the 25 most recent conversations stay on screen. Older ones are archived, not deleted.

Pro is listed at $16.99 per user per month, or $8.33 per user per month on annual billing. The page lists 1,200 transcription minutes a month, meetings up to 90 minutes, and 10 file imports a month. On Basic and Pro, the monthly minutes are one pool shared by live meetings and imported files.

Business is listed at $30 per user per month, or $19.99 on annual billing. The page lists unlimited monthly transcription, meetings up to 4 hours, and unlimited imports. Imported files have their own cap of 6,000 minutes per user a month. Read the row labels before you quote “unlimited” to a colleague.

Enterprise is custom. The pricing page lists SSO and SCIM with a minimum of 100 users, and HIPAA as an add-on. HIPAA is not part of Basic, Pro or Business.

The same table lists transcription in English, Spanish, French, German, Japanese and Chinese. Basic exports are mp3 and txt. Pro and above add pdf, docx and srt.

How to choose an Otter.ai alternative

Three questions decide it.

  1. Is the problem the bot, or the account? If a client only objects to an extra name in the participant list, Otter’s desktop app already records without one. If the objection is that the audio is processed on someone else’s servers, the desktop app does not answer it.
  2. Do you need the meeting when the laptop is offline? Cloud notetakers need a network during the call. Local apps need the models installed first, then they can run without one.
  3. What has to exist after the call? A raw transcript, minutes with owners, a CRM field, or a searchable team library are different products.

Stay on Otter

  • The team already shares channels, and a visible notetaker is accepted
  • You want iOS and Android, and a cloud archive is fine
  • The only objection is the bot, and IT allows the desktop app

Leave Otter

  • Client audio is not supposed to leave the Mac
  • You need a full meeting with the network off
  • You do not want a per-user subscription for notes

If you already have a file and you only need text, the free transcribe recording tool runs in the browser tab. The file is not uploaded. The cap is 15 minutes and three successful runs a week. It does not record a live meeting and it does not name speakers. For the next live call on a Mac, the app records from the menu bar (how capture works).

Seven Otter.ai alternatives

Vemoir (Mac app)

Best for: keeping the recording, the transcript and the minutes on the Mac, with no bot in the call.

Vemoir records the microphone and system audio from the menu bar. You start and stop each session. Transcription and summaries run on the Mac with local models. A cloud model is opt-in, with your own API key. The record is minutes, decisions, action items and a follow-up draft. Speaker separation runs on the Mac. You can ask questions about a meeting, and the answers link back to the transcript (the record, Ask Vemoir).

It works with any app that plays audio on the Mac, including Zoom, Teams, Google Meet, Slack huddles and Discord (platforms). macOS only allows another app’s audio through the Screen Recording permission. Vemoir uses that permission for meeting audio and does not record the screen.

Price, as of October 2026: a one-time purchase in the Mac App Store, with no subscription and no charge per meeting. CHF 20 in Switzerland, €24.99 in Germany, Austria, France and Italy, $22.99 in the US (pricing). Every feature is in that purchase. Requirements: Apple silicon (M1 or newer), macOS Sonoma 14.2 or later, at least 8 GB of memory and 10 GB of free storage. 16 GB or more is the recommendation for long meetings. Intel Macs are not supported, and neither are Windows, iPhone or iPad.

Import of a file you already have: MP3, M4A, WAV, AIFF, CAF and FLAC. Notes you type during the meeting fold into the minutes. The interface is English, German, French, Italian and Dutch. Parakeet v3 transcribes 25 European languages. Other models differ. There is no Swiss German dialect output to plan on.

Skip Vemoir if you work on Windows or an Intel Mac, if someone who is not in the room must record the call with a bot, or if the team needs one shared cloud library with CRM fields. Use the browser tool for a short file. It does not replace Otter on a phone.

Fireflies.ai

Best for: a team that wants a cloud notetaker, search across calls, and admin controls, and has already accepted that the audio lives in Fireflies.

Fireflies joins Zoom, Google Meet, Microsoft Teams and other platforms. The pricing page includes a row for recording with a Chrome extension without the Fireflies bot. The page’s FAQ says Pro and Business have no monthly rate limit on the meeting bot or the Chrome extension, and that there are separate limits for the API, dialers and bulk uploads. The extension is still Fireflies’ service. It is not on-device transcription.

Prices come from Fireflies’ billing article, checked in October 2026: Free $0, Pro $10 per user per month billed annually or $18 monthly, Business $19 or $29, Enterprise $39 annually. A seat is a person in the workspace. The pricing page itself did not show those dollar amounts as text when we loaded it, so confirm them there the week you buy. Fireflies states SOC 2 Type II, GDPR, HIPAA, and no training on customer data. None of that puts the audio on your disk.

Skip Fireflies if the recording cannot go to a vendor cloud, if you need the workflow offline, or if a Chrome extension is blocked as firmly as a bot.

Fathom

Best for: an individual or a small sales team that wants a free plan with a lot of recording, clips, and the option of a bot.

On fathom.ai/pricing, as of October 2026, the free plan lists unlimited recordings and transcriptions, and a choice of bot capture or bot-free capture. Bot-free is marked beta, and only for Mac. Paid rows show an individual Premium plan at $20 and $16, Team at $19 and $15 per user per month with a two-user minimum, and Business at $34 and $25. The page says annual billing saves 25 percent or more, so the lower number is the annual price. Confirm the toggle. Business adds CRM field sync.

Fathom does not describe offline use or on-device storage. A bot-free Mac recording still ends in your Fathom account.

Skip Fathom if the audio must stay on the Mac, if you need Windows without a bot (the beta is Mac), or if “unlimited” on a free cloud plan is not a trade you want for client calls.

Granola

Best for: people who already take notes, and want them rewritten from the computer’s audio, without a participant joining.

Granola’s pricing page, as of October 2026, lists Basic at $0 per user per month, Business at $14, and Enterprise at $35. Basic meeting history is 30 days. Business and Enterprise are unlimited. Bot-free device-audio capture is listed on every plan, as are desktop, iOS, Android and Apple Watch apps. “Audio deleted after transcription” is listed as included. Notes are private until you share them.

The security page says you start Granola yourself, it does not add a bot, and it does not keep the audio. Transcription goes through providers such as Deepgram and Assembly. Summaries go through providers such as OpenAI and Anthropic. Those providers are not allowed to train on your data, Granola says. Granola itself trains on anonymized data unless you opt out. Enterprise has that off by default. Notes sit in US-hosted AWS.

Skip Granola if you need the audio file later, if you need to work offline, or if a US-hosted transcript is the thing you were trying to avoid by leaving Otter. Opt out of training if that default matters. The 30-day history on Basic is a real cliff: older notes drop out of the free window.

MacWhisper

Best for: a Mac user who wants local transcription of files and meetings, and will add their own AI keys only if they want summaries.

MacWhisper transcribes locally, records online meetings without a bot, and lists Zoom, Teams, Webex, Skype, Chime, Discord and other calls. The site says local models, offline processing, and over 100 languages. That language count is their claim. Pro is listed at €64 once, with lifetime updates on that page. The free tier is €0. Summaries and chat can use a cloud model you connect (OpenAI, Anthropic and others) or a local model through Ollama or LM Studio. All of this is as of October 2026.

The official site warns about scam download pages. Install from the Gumroad or App Store link, not from a lookalike domain.

Skip MacWhisper if you need Windows, or a shared team library with CRM fields. It is a transcription app on one Mac. It does not hand the team a cloud workspace.

tl;dv

Best for: a team that wants a cloud library of Zoom, Meet and Teams calls, with EU hosting, and does not need the file to stay on the laptop.

The features page, as of October 2026, says a bot is not required, that storage is in the EU, that recordings are never used to train AI, and that transcription covers 30+ languages. It also describes a free plan with unlimited recordings and transcriptions. That word is tl;dv’s. Confirm it at checkout. Paid plans are priced per seat, so check tl;dv’s pricing page for the current figures.

There is no offline mode in what they publish. “No bot” does not mean the audio stayed on your machine.

Skip tl;dv if EU cloud is still too far for the recording, or if you need the meeting on a laptop with no network.

Jamie

Best for: a team that wants no bot, processing in Europe and the audio deleted after transcription, and will pay a subscription for that.

Jamie’s homepage, as of October 2026, says the app runs on the device, no virtual participant joins, and it works for online calls and in-person meetings. Storage and processing stay in the EEA, Switzerland and the UK. Audio is deleted after transcription, encrypted in transit and at rest, and not used to train models. Jamie states ISO 27001 and GDPR, and says it is aligned with DORA. Those are Jamie’s statements about Jamie.

The pricing page lists a free plan, Plus at €21, Pro at €39, Team at €33, each per user per month on annual billing, and Enterprise as a custom tier. Monthly billing costs more, so check the toggle before you put a figure in a budget.

Skip Jamie if you need the audio file afterwards, or a meeting with the network off. “Runs on your device” and “audio deleted after transcription” still means Jamie processed the audio. It is not a file that never left the Mac.

Where Otter.ai is still the better choice

Stay if the team has already agreed to Otter, the archive is in use, and the mobile apps matter. Calendar join across Zoom, Teams and Meet, shared channels, and admin permission tools are the product. Switching means a migration.

Stay if the only complaint is the bot and IT allows the desktop app. You get a quieter participant list. The transcript still goes to Otter.

Leave if a fiduciary, a journalist or a recruiter cannot put that client’s voice on AWS. Leave if the meeting has to be transcribed with the network off, after the models are already on the machine. Leave if you are paying per seat for notes one person takes on one Mac.

Limits to plan for

No tool on this page makes a recording lawful. You tell people, you keep what you can justify, and you delete the rest. This is not legal advice. Vemoir does not change that.

Local apps need disk, a model download, and a machine that matches the requirements. Vemoir needs Apple silicon and the Screen Recording permission for system audio. It does not support Windows or Intel Macs.

Cloud notetakers can change a minute cap or a region. Granola’s free history stops at 30 days. Otter Basic shows the 25 most recent conversations and archives the rest. Export the audio before you cancel. Basic export is mp3 and txt. Paid plans add pdf, docx and srt. Vemoir can import that audio (MP3, M4A, WAV, AIFF, CAF, FLAC). Comments and shared channels stay in Otter until you copy them.

Swiss German in the browser tool usually comes out as Standard German. The Mac app does not offer dialect spelling either.
