Best Meeting Notes App for Mac: 2026 Comparison Guide

The best meeting notes app for Mac depends on how you capture audio, where that audio is processed, and what you need after the call. Some tools send a visible notetaker into Zoom, Google Meet, or Microsoft Teams. Others record your microphone and system audio on the Mac, so nobody extra appears in the participant list. This guide compares eight Mac-relevant options with the same selection criteria. Features and prices were checked on each vendor’s site as of October 2026.

If you already know you want local capture without a bot, Vemoir records from the menu bar, transcribes on the Mac, and turns each call into minutes, decisions, and action items (see the record workflow; background in meeting notes without a bot). If you are still shopping, start with the criteria below, then read the short profiles and the comparison table.

How we picked meeting notes apps for Mac

We looked at tools Mac users run today: native Mac apps, desktop clients, and services with a documented Mac capture path. Windows-only recorders and phone-only dictation apps are out.

For each product we checked five points on the vendor’s own site or help center:

  1. Bot or local capture: Does a named notetaker join the call by default, or does capture happen on the Mac through the microphone and system audio?
  2. Where audio and text go: Cloud processing, optional cloud models, or on-device transcription and storage.
  3. Offline use: Can you run the full workflow without a network after setup?
  4. Languages and minutes: Transcription coverage, and whether the product outputs structured minutes, decisions, and action items or mainly a transcript.
  5. Price model: Subscription, freemium, or one-time purchase (as of October 2026 on each pricing page).

We also noted the honest limits: saved meeting video, speaker labels without a bot, team libraries, CRM sync, Intel Mac support. Those trade-offs matter as much as the feature lists.

Client call or internal meeting: where to start

For an internal standup, a visible bot may be fine when everyone knows it is there. For a client call, many IT teams block invited non-human participants. Start with your internal rule, not the vendor homepage.

  • BotParticipant list

Otter, Fireflies, and tl;dv document a visible notetaker.

  • LocalMenu bar

Vemoir and MacWhisper process on the Mac by default.

  • Vemoir priceCHF 20

If you narrow the list to Granola and Vemoir, compare what stays on disk after the call. Granola gives you an editable note after local capture. Vemoir keeps the recording, transcript, and structured record on the Mac unless you export or opt into a cloud model with your own key. Jamie fits when you want documented EU hosting and accept cloud processing without stored audio, per its site.

Vemoir

Best for: Mac users who want meeting records to stay on the device by default, with no bot in the participant list.

Vemoir is a Mac menu bar app from Aurum Avis Labs. It records your microphone and system audio from any meeting app that plays sound on the Mac (Teams, Zoom, Meet, Slack huddles, and others). No bot joins the call, and you start and stop recording yourself. Transcription and summaries run locally on the Mac unless you opt into a cloud model with your own API key.

After a call, Vemoir produces a structured record: minutes, decisions, action items, and a follow-up draft. Notes you type during the meeting fold into the generated sections. Ask Vemoir lets you question a meeting, with answers linked back to the transcript. Sharing uses native macOS sharing for the parts you choose.

Offline: Once the models are installed, the full workflow can run offline. Internet is needed for setup and model downloads. Requirements: Apple silicon (M1 or newer), macOS Sonoma 14.2 or later, 8 GB of memory (16 GB recommended for long meetings). Intel Macs are not supported.

Price (Mac App Store, as of October 2026): One-time purchase, no subscription: CHF 20 in Switzerland, €24.99 in Germany, Austria, France, and Italy, $22.99 in the US. Every feature is included. See pricing on the site or the App Store listing.

Limits: No Windows, iPhone, or Android app. No calendar bot that attends when you are absent. The browser transcription on vemoir.ch only handles a file you already have after the call (up to 15 minutes). It does not record live meetings or separate speakers. macOS grants system audio only through the Screen Recording permission; Vemoir uses it for meeting audio and never records the screen contents (capture).

Otter.ai

Best for: Teams that want a shared cloud library, calendar auto-join, and integrations, and accept a visible notetaker or Otter’s desktop capture path.

Otter is built around an AI Meeting Agent that can join Zoom, Microsoft Teams, and Google Meet as a participant, transcribe in real time, and share notes. Otter’s help center describes a chat message when the notetaker joins. Enterprise customers on Teams can also require recording permission before people enter the meeting, through an Outlook extension.

Otter also advertises bot-free recording from its Mac and Windows desktop apps and from Chrome, so Otter is not only the bot path. Cloud storage and collaboration remain central. Pricing is subscription based (Otter pricing, as of October 2026): a free Basic plan (300 minutes a month), Pro at $8.33 per user per month billed annually ($16.99 monthly), Business at $19.99 billed annually ($30 monthly), and custom Enterprise pricing.

Limits: Default bot visibility can conflict with client policies that ban extra participants. SSO and enterprise security sit on the Enterprise tier per Otter’s pricing page. Offline transcription on the Mac without the cloud is not Otter’s main design.

Fireflies

Best for: Revenue and operations teams that want unlimited transcription, CRM automations, and optional video recording when the bot joins.

Fireflies is known for Fred, the Fireflies.ai Notetaker that joins calendar meetings or can be invited via fred@fireflies.ai (join FAQ). The desktop app also offers a Take Notes mode that captures system audio without a bot. Fireflies documents that this path does not save audio or video and does not provide named speaker labels (bot vs no bot).

Fireflies says it does not use meeting data to train AI models on its notetaker page, and its security page promises a 0-day data retention policy with its vendors and partners (security page). Plans are per-seat subscriptions. Its pricing guide (July 2026) lists Free, Pro at $10 per seat per month billed annually, Business at $19, and Enterprise at $39, with unlimited transcription on every plan.

Limits: Bot mode is visible to everyone on the call. No-bot mode is lighter but drops the saved media and named speakers. Processing is cloud-first, not an offline Mac archive.

Granola

Best for: People who want an editable AI notepad without a bot, on Mac and other platforms, and who accept cloud transcription after local capture.

Granola calls itself an AI notepad, not a bot. It captures microphone and system audio on your device and does not join as a meeting participant (Granola homepage, as of October 2026). Granola says it does not keep the audio once the transcript exists. Transcripts and notes stay in the product, and transcription runs through cloud providers.

Granola syncs with your calendar, works across meeting apps, and has apps for macOS, Windows, iOS, and Android. It has a free plan with limited note history and paid plans (Granola pricing); check the live page for current tiers. If Granola is the tool you are comparing against, the Granola alternative guide walks through seven options on the same criteria.

Limits: Not a local-only archive like a fully offline Mac transcription stack. You open a note or accept a notification to start capture, and Granola’s docs describe manual starts for ad hoc calls. On managed Macs, automatic end-of-meeting detection needs admin rights.

Jamie

Best for: EU-hosted notes, no bot, and structured templates when you attend meetings yourself (online or in person).

Jamie captures audio on your device and states that no bot joins your calls. Its site stresses storage and processing in the EEA, Switzerland, and the UK, ISO 27001 certification, and that audio is deleted after transcription (Jamie homepage, as of October 2026). Pricing (as of October 2026) includes a Free plan (10 AI notes per month, 30-minute cap), Plus at €21 per month billed annually, Pro at €39 per month billed annually, plus team and enterprise plans.

Limits: Note counts and duration caps on lower plans. Notes can lock until you upgrade, per Jamie’s docs on plans. Processing happens in the cloud, with no offline Mac-only models.

tl;dv

Best for: Teams that want generous free recording, clip sharing, and EU hosting, with either a visible bot or bot-free desktop capture.

tl;dv records Zoom, Google Meet, and Microsoft Teams. Calendar capture uses a visible tl;dv Notetaker participant by default. The desktop app supports bot-free recording by capturing system audio and your microphone on Mac or Windows (help article). Its pricing page (as of October 2026) lists a Free plan with unlimited recordings and transcription but limits on AI notes, Pro at about $18 per seat per month billed annually, and Business at about $29. Annual prices reflect a promotional discount.

Limits: Bot-free mode records audio only, and telling participants is your responsibility. Cloud library and AI features dominate. It is not a local-first archive on your Mac.

Fathom

Best for: Individuals who want unlimited recordings and transcripts on a free plan and can live with a visible bot, or Mac users testing bot-free capture (beta).

Fathom (as of October 2026) advertises Free forever with unlimited recordings and transcriptions, instant summaries, and a choice of bot-free (beta on Mac) or bot capture. Paid Premium costs $16 per month billed annually or $20 monthly. Team plans (Team, Business, Enterprise) add collaboration and CRM features.

When the bot joins, participants see a Fathom Notetaker in the list.

Limits: Some AI features on the free plan, such as Ask Fathom and AI action items, are limited. Bot-free capture remains a beta on Mac. Recordings live in Fathom’s cloud, not on your Mac.

MacWhisper

Best for: Mac power users who want local file and meeting transcription, control over exports, and optional cloud models, and who will build their own minutes template.

MacWhisper focuses on transcription on your Mac with local Whisper models. MacWhisper Pro adds automatic meeting recording for Zoom, Teams, Webex, Skype, Discord, and more, plus speaker recognition (MacWhisper site, as of October 2026). Pro is a one-time license, listed at €64 on the official site. The Mac App Store version, Whisper Transcription, is sold by subscription and lacks some features, so it is a different purchase.

Limits: MacWhisper is a transcription workstation. It is not an out-of-the-box minutes-and-actions product like Vemoir or Granola, so you bring your own templates and workflow. Its meeting recording is documented as a beta feature, and cloud transcription is opt-in.

If your priority is turning the next live call into a record without uploading audio, compare recording to notes on Mac with Vemoir’s minutes and record section.

Three quick tests before you buy

  1. Bot visibility: Run an internal Teams or Zoom call and check whether a notetaker appears in the participant list. If it does, plan how you will disclose it on client invites.
  2. Network traffic: On cloud tools, open Activity Monitor’s Network tab during a test call and see whether audio leaves the Mac. Vemoir and MacWhisper keep capture on the Mac by default (cloud only when you opt in).
  3. Export shape: Ask for minutes, decisions, and action items in an editable format. Some tools stop at a short bullet summary.

With everyone’s consent, record the same internal meeting twice with two finalists and compare editing time and name accuracy.

Where a cloud bot notetaker is the better fit

A Mac-local app is not always the right answer. Cloud bots and team libraries still win when:

  • You need a shared searchable archive across sales, success, or product, with permissions managed centrally (Otter, Fireflies, tl;dv, Fathom team plans).
  • You want the notetaker to join without you on calendar invites, including back-to-back meetings you cannot attend (Otter auto-join, Fireflies auto-join, tl;dv auto-recording).
  • CRM or task automations should fire from every call (Fireflies, Fathom team plans, Otter integrations).
  • You must record meeting video with a hosted copy, not just text (Fireflies bot mode, tl;dv bot mode).

In those cases, pick the vendor whose data handling and pricing page match your organization’s rules, announce recording to participants, and treat consent and retention as your responsibility. Vemoir does not replace a company-wide conversation archive. It reduces exposure by keeping default processing on the Mac you control.

Who a cloud notetaker is for

  • Teams that want a shared library and automations after the call

Who should skip it

  • Calls where a bot in the participant list is not allowed

Frequently asked questions

What is the best meeting notes app for Mac without a bot?

Several Mac tools avoid a visible participant: Vemoir, Granola, Jamie, MacWhisper, and the bot-free modes of Fireflies, tl;dv, Fathom, and Otter desktop. They differ on where audio goes. Vemoir and MacWhisper keep it on the Mac by default, while Granola and Jamie send it to cloud transcription after local capture. Check each vendor’s help center for the path you plan to use.

Can these apps record Zoom, Teams, and Google Meet on a Mac?

Yes. Local capture tools record any app that plays meeting audio on the Mac, using system audio plus your microphone, as Vemoir, Granola, Jamie, and the desktop modes of Fireflies and tl;dv document. Bot-based tools join the specific platform link instead.

Do Mac meeting notes apps work offline?

Vemoir and MacWhisper support offline workflows once local models are installed. Cloud-first notetakers (Otter, Fireflies, Granola, Jamie, tl;dv, Fathom) need a network for transcription and sync during capture or upload.

How much do Mac meeting notes apps cost?

Prices run from free tiers (Fathom, tl;dv, Jamie, Fireflies, Otter Basic, Granola) through subscriptions of roughly $8 to $30 per user per month on annual billing for paid tiers, to one-time purchases (Vemoir on the Mac App Store, MacWhisper Pro on macwhisper.com). Check live pricing before you buy.

Are AI meeting notes private on a Mac?

That depends on the architecture. Local-first apps keep recordings and transcripts on your Mac unless you export or opt into cloud models. Cloud notetakers store data in their service, so read each vendor’s privacy and security pages and compare them with your client contracts.

Does Vemoir support Intel Macs or Windows?

No. Vemoir requires Apple silicon and macOS Sonoma 14.2 or later. Windows and Intel Macs are not supported.

Can I import an existing audio file instead of recording live?

Vemoir imports MP3, M4A, WAV, AIFF, CAF, and FLAC into a record. MacWhisper transcribes dropped files. Cloud tools often include upload features on paid tiers. The free Vemoir browser tool is an after-the-call option for a file you already have. Live capture is the Mac app in the menu bar.

Which app is best for Swiss professionals who mention client confidentiality?

Many Swiss teams start with where audio is processed and whether a bot appears on client calls. Local Mac processing (Vemoir, MacWhisper) and EU-hosted cloud notes (Jamie) address different parts of that conversation. None of these apps makes a recording lawful by itself, so follow your policies and applicable law.

Do these tools replace a human minute taker?

They cut typing time but still need review. Treat generated minutes as a draft, verify decisions and action owners, and check names against your project glossary. Vemoir supports speaker profiles and glossaries on the Mac to keep names and terms right.

What should I do next if I am still comparing?

Shortlist two apps from the table, run one real internal meeting on each with consent handled the way your clients expect, and compare export format, editing effort, and whether a bot appeared. If local capture wins, install Vemoir from the App Store or try recording to notes for a file-based preview of the workflow.
