Teams Transcript Not Showing: Check the Recap First

A Teams transcript not showing after the call usually means one of three things: transcription never started, your account is not allowed to open the file, or the recap is in a place you are not looking. Microsoft stores a saved transcript with the organizer, not as a loose file on every participant’s desktop. This page walks that path. It does not invent a recovery button for a transcript that Teams never created.

The steps below follow Microsoft’s own help, checked in September 2026. Menus move. If a label differs, use the lock icon tooltip on the transcript control rather than a third-party checklist.

Where a saved Teams transcript actually lives

Microsoft’s article on starting, stopping, and downloading live transcripts says that after the meeting the organizer or a co-organizer can download a .docx or .vtt from the meeting chat: open the past meeting, then Recap, then Transcript (download transcripts, September 2026). The same article says the transcript is stored in the organizer’s OneDrive for Business when the meeting had recording or transcription, and that people open it from chat and Recap until the organizer deletes it.

A non-channel meeting recording sits in the organizer’s OneDrive Recordings folder. A channel meeting sits in that channel’s SharePoint Files, inside Recordings. If you are looking on your own laptop for a .vtt that Teams never copied to you, you are looking in the wrong room.

The line “No transcript available,” “never created, expired, or deleted,” or “No meeting transcript” does not mean the text is hiding in a cache you can force open. Microsoft uses that wording when the transcript was never started, failed to process, was deleted, or did not attach on a long meeting. Do not promise a teammate that it will reappear.

Teams transcript not showing: the short checklist

Work in this order. Stop when you find the file, or when the policy explanation is clear.

  1. Open the meeting chat, not a new chat with the same people. Find the meeting that already ended. Open Recap, then Transcript. If you can download .docx or .vtt, you are done.
  2. If you were not the organizer, ask the organizer to open Recap. External and anonymous participants often cannot view or download the transcript after the meeting, even when they could see captions while the call ran.
  3. If the meeting was in a channel, look in that channel’s Files, then Recordings, on SharePoint. If it was a normal meeting, the organizer’s OneDrive Recordings folder is the place Microsoft names.
  4. If Recap says there is no transcript, transcription was probably never saved. Check whether anyone clicked Start transcription during the call. Captions on screen are not the same object as a saved transcript.
  5. If the control was locked during the meeting, hover the lock. The tooltip is Microsoft’s explanation of the policy that blocked you. An admin change in the Teams admin center does not always apply mid-meeting.

If the transcript was deleted under a retention policy, the checklist ends. There is no second copy in the client that those steps uncover.

Recording on, saved transcript missing

Microsoft treats cloud recording and saved transcription as separate switches. A meeting can land in OneDrive or SharePoint under Recordings while Recap still says no transcript, because nobody clicked Start transcription. The other way round, transcription can run without a recording you need: the .docx or .vtt sits on the organizer’s chat and Recap. If you only see a video file and no Transcript tab, you likely have the recording, not the written record. For text you can reopen later, transcription must run during the meeting, or you need your own path afterward.

Hours of delay after the meeting

After long meetings, Recap can look empty while Microsoft processes the file in the cloud. Wait a few hours, open the same past meeting again from the meeting chat, and check Recap once more. If it still says never created after a full business day, that was not delay; nothing was saved. Waiting will not help.

Teams on your phone

On iOS and Android you can find past meetings, but Recap and download do not behave like the desktop app. If you see no transcript on the phone, open the same meeting in Teams for Mac, Windows, or the browser, go to the ended meeting’s chat, then Recap. Guest accounts on mobile often see even less than on desktop. That is a UI gap, not a second copy of the text on the phone.

If you want text from a file you already hold instead of waiting on the organizer, use recording to notes. For the next live meeting on a Mac, see record a Teams meeting on Mac.

When the button was missing during the call

Microsoft’s note “I can’t transcribe a meeting” lists the usual blocks, checked September 2026 (can’t transcribe): the organization policy does not allow transcription, the organizer is not allowed to turn it on, allowTranscription is false on the meeting, or only presenters can start it. Policy changes can take time to reach a meeting that is already scheduled.

You cannot click past that lock from the participant list. The organizer’s admin owns the setting. If your company must have a written record of this call anyway, the next path is a recording you already have, or a recording you make yourself on the Mac the next time. How to capture a Teams meeting on a Mac without using Teams’ cloud transcript is covered in record a Teams meeting on Mac. This page stays on the missing transcript.

Guests, other companies, and Copilot

People from another tenant, and people who joined without an account, are the group Microsoft most often leaves outside the after-meeting download. If you were a guest and the organizer has the file, ask them to download the .docx or .vtt and send it through whatever channel your companies already use for files. Asking Teams to “share the transcript with everyone who was in the call” does not override that split.

Copilot is a separate switch. Microsoft’s documentation on transcription and Copilot distinguishes a temporary speech-to-text that exists only during the meeting from a saved transcript. “Only during the meeting” does not leave a transcript you can open tomorrow, unless someone also started transcription. After the meeting, Copilot’s recap of the call depends on that saved transcript. A meeting where Copilot answered questions live, and transcription was off, can still show an empty Recap afterward. That is expected, not a download bug.

When you already have a recording file

If Teams never created a transcript and you have an MP3, M4A, WAV, or MP4 from the call, you can turn that file into notes after the fact. The browser tool recording to notes does not upload the file. After the speech model downloads once, later runs can work offline. You can confirm the audio is not posted in the browser’s Network tab. The limits are sharp: 15 minutes, 3 successful runs a week, and no speaker labels. A one-hour Teams recording does not fit.

For a longer file, or for the next call while it is happening, the Mac app records microphone and system audio from the menu bar. It does not join as a bot, and it does not use Teams’ transcript store. You start and stop it. Screen Recording and Microphone are the permissions macOS asks for. The capture is audio, not the screen. Transcription and speaker separation run on the Mac. You still tell the other people that you are recording. The app does not announce itself inside Teams.

Neither path reconstructs a transcript Teams deleted. They only cover audio you already hold, or audio you capture next time.

  • Transcript tabLicense

Teams may hide text without the right plan.

  • DelayHours

Cloud processing is not always instant.

  • FallbackLocal record

Capture audio on the Mac if the tab stays empty.

Frequently asked questions

Why is my Teams transcript not showing in Recap?

Often it was never started, the organizer removed it, retention expired it, or your account cannot open the organizer’s copy. Check the past meeting chat, Recap, then Transcript, and ask the organizer if you are not that person (Microsoft’s download steps, September 2026).

Can a guest download the transcript later?

Often no. Microsoft’s help says external and anonymous users commonly cannot view or download it after the meeting. The organizer downloads it and shares the file if your agreement allows that.

Are live captions the same as the transcript?

No. Captions are what you saw on screen. A saved transcript is the file behind Recap. If nobody started transcription, captions can have been on and Recap can still be empty.

Will Copilot recreate the transcript?

Only if a transcript was saved. A mode that Microsoft describes as temporary during the meeting is not a file you can reopen. Do not treat a live Copilot answer as the minutes.

What if the meeting was in a channel?

Look in that channel’s SharePoint Files, folder Recordings. The organizer’s personal OneDrive is the place Microsoft names for meetings that were not held in a channel.

What if the file is longer than 15 minutes?

The browser tool stops at 15 minutes and does not label speakers. Use it to test a short excerpt. For the full recording, use a local Mac workflow you control, and keep the file in the place your retention rules already name.

Do I need Teams Premium for a saved transcript?

Microsoft ties the Transcript tab to the tenant’s license and policy. Without the right plan or with transcription blocked, the tab never appears during the meeting. The lock on the control and its tooltip are the fastest answer; the organizer’s IT changes policy, not you as a guest.

Can Teams create a transcript later from a cloud recording?

Teams does not generate a saved transcript retroactively from a recording that had no live transcription running. You need the audio file and your own transcription path, or you start transcription during the next meeting.

Open recording to notes only for a short file you already have. If the next Teams call should be written down on the machine itself, start from the menu bar before you depend on Recap.
