Record a Teams meeting on Mac
You can record a Teams meeting on Mac in three ways. Teams cloud recording, when your license and role allow it, stores the official file in the organizer’s OneDrive or in the channel’s SharePoint. macOS screen capture saves a video of the window. A Mac app can record system audio and your microphone locally, with no extra person in the participant list. Choose by two questions: where must the file live, and are you allowed to start the tenant recording at all?

Who can start a Teams cloud recording
As of October 2026, Microsoft’s help page says one person records at a time. In the desktop app, including on a Mac, open More actions, then Record and transcribe, then Start recording, then Confirm. The same menu can record audio only. Everyone in the meeting is notified when a cloud recording starts.
A person in the same organization can start it when the organizer’s cloud-recording policy is on, an admin has allowed recording, and both the organizer and the person who presses Record hold a supported license. Microsoft lists Office 365 Enterprise E1, E3, E5, F3, A1, A3 and A5, plus Microsoft 365 Business, Business Premium and Business Essentials. The organizer does not have to be in the meeting. Guests, anonymous joiners, and people from another organization cannot start a meeting recording.
If Record is missing, check three things before you blame the Mac: the organizer’s meeting policy allows cloud recording, both of you have one of the licenses above, and you are not a guest. Microsoft adds that federated users can record calls, but not meetings.
With a Teams Premium or Copilot license, the organizer can narrow who may record and transcribe: organizers and co-organizers, those people plus presenters, or no one. If the organizer turns Copilot off for that meeting, Microsoft also turns recording and transcription off. There is a separate admin switch that can require everyone to agree inside Teams before cloud recording or transcription starts. That prompt is Teams only.
The recording keeps going if the person who started it leaves. It stops when everyone has left. If someone stays in the meeting, Microsoft says the recording ends and restarts every four hours until the last person leaves.
A cloud recording does not capture everything on screen. Microsoft says it leaves out more than four people’s video at once, whiteboards and annotations, shared notes, content shared by an app, or videos and animations embedded in a PowerPoint Live deck.

Where the file and the transcript go
For a scheduled or Meet now meeting, the file is saved to the organizer’s OneDrive, in a folder named Recordings, even when the organizer did not attend. A channel meeting is stored in that channel’s SharePoint library, under Documents/Recordings. A link shows up in the meeting chat, or in the channel. A 1:1 or group call is different: the file goes to the OneDrive of the person who pressed Record.
People invited from the same organization can view the meeting recording. Guests and external attendees see it only if someone shares it with them. Microsoft’s help page says that, by default, the organizer and co-organizers are the ones who can download or delete it.
A transcript is not automatic. Transcription has to be allowed for the organizer and for the person who starts it. The transcript is stored with the recording in OneDrive or SharePoint. It is not dropped on your Mac as a local text file. If recording is on and transcription is off, there is no transcript beside the video. Live captions during the meeting are not saved. German (Switzerland) is one of the languages Microsoft lists for live transcription. The consent prompt an admin can require inside Teams does not appear for a recording that never goes through Teams.
Why a screen recording is a weak default
The Screenshot toolbar (Shift-Command-5) or QuickTime can record the screen and save a movie. That is a reasonable way to keep a short demo you will edit once. It is a poor way to keep minutes.
You get video, not decisions. The Teams window has to stay visible, so notifications and window moves are part of the file. The movie grows quickly on a long call, and turning it into text is a second job. Apple lists a system-audio option for the Screenshot toolbar only from macOS 27 on. Without it, the microphone is the only audio input, and the other people on the call are easy to lose.
Record Teams audio on the Mac without a bot
Vemoir records system audio and the microphone while Teams plays sound on the Mac. Nothing joins the participant list. You start and stop from the menu bar. That fits when you are a guest and cannot start the tenant recording, when the Record button is off, when a client does not want a bot or a cloud copy, or when the audio should stay on the machine.
macOS asks for the Screen & System Audio Recording permission (called Screen Recording on older versions) because that is how the system lets an app hear other apps. Vemoir uses it for meeting audio only and never records the screen. Allow the microphone too, so your voice is on the track. See capture and models and meeting app support.
After you stop, local models on the Mac write a transcript and a record: summary, decisions, action items, and a follow-up draft. Notes you type during the call are folded in. You export only the parts you choose (export and share). Cloud models are opt-in and use your own API key. Once the models are installed, capture and transcription can run offline.
Requirements: Apple silicon (M1 or newer), macOS Sonoma 14.2 or later, 8 GB of memory (16 GB is the recommendation for long meetings), about 10 GB free for models. Intel Macs are not supported.

Microsoft documents admin controls that detect external meeting bots and can hold them in the lobby until someone admits them (Manage external bots). That control is about a bot on the roster. A menu-bar recording does not join the meeting, so the lobby rule does not see it. You still tell the other people.
Say you are recording
Teams will not show its cloud-recording banner for a menu-bar capture. Say it at the start, and in the invite when you can.

Join Teams with sound coming out of the Mac. Start and stop in Vemoir. Headphones help if you hear echo.
Edit, then export
Check names and decisions on the Mac. Share only the sections the other party should have.

When Teams cloud recording is the better choice
Use Teams when the organization wants one file in OneDrive or SharePoint, when people who missed the meeting should play it inside Teams, and when IT has already allowed that storage. You do not install another app, and participants see the standard recording notice.
Stay on Teams, and skip a local tool, if you need that tenant copy with Teams’ own permissions. Skip Vemoir on Windows, on an Intel Mac, or when you cannot tell participants a recording is running. Vemoir does not make a recording lawful. Consent and retention stay with you.

Frequently asked questions
Can anyone record a Teams meeting on Mac?
Not the cloud recording. Guests, anonymous joiners, and people from another organization cannot start it. Someone in the organizer’s organization can, when policy and the supported licenses line up. The organizer does not have to be present.
Where does a Teams cloud recording go?
Meetings go to the organizer’s OneDrive Recordings folder, even if the organizer never joined. Channel meetings go to the channel’s SharePoint Documents/Recordings folder. Calls go to the OneDrive of the person who pressed Record.
Does Teams always create a transcript?
No. Transcription is its own policy, and both the organizer and the person who starts it need it turned on. The transcript stays with the cloud recording. German (Switzerland) is on Microsoft’s supported list. Live captions are not saved as a file.
Is Screenshot or QuickTime enough for minutes?
For a short visual demo, sometimes. For decisions and action items, no. You get a movie. You still have to turn speech into text somewhere else.
Why does Vemoir ask for Screen & System Audio Recording?
macOS ties audio from other apps, including Teams, to that permission. Vemoir records only the meeting audio and never the screen contents.
Will people see a bot?
No. Vemoir does not join the participant list. Teams does not show the cloud-recording banner either, so tell people yourself.
What if the tenant blocks notetaker bots?
Microsoft’s external-bot control can keep a detected bot in the lobby. It does not apply to audio captured on your Mac, because that capture is not a participant. You still need consent and your organization’s rules.
