Facts at a glance (from Fireflies’ pages)
| Topic | What Fireflies documents (September 2026) |
|---|---|
| Model training on meeting content | Privacy Policy: does not use personal information for AI model training; vendors contractually prohibited (privacy policy). Help: “No AI Training. Ever.” for audio, video, transcripts, summaries (keeping information safe). Policy-update FAQ: same “no” (policy updates) |
| Terms (User Content) | Fireflies “will not use your User Content to train, retrain, fine-tune or otherwise improve any generative artificial intelligence models” (terms) |
| Marketing phrasing | Security page: “We don’t train on it by default unlike other AI companies” (security). Read that next to the Privacy Policy’s flatter “we do not” |
| Vendor retention | ”Zero Data Retention” / “0-day” for third-party vendors: no store after processing, no later access, no vendor training (privacy policy, keeping information safe) |
| Fireflies’ own store | Account personal information kept while the account is active; deleted within 30 days after you close the account. Meeting recaps, recordings, and transcripts remain in the product until you or an admin delete them (privacy policy, keeping information safe) |
| Voice Data | Service providers may extract voice characteristics for speaker differentiation. Fireflies says it never receives that Voice Data on its own servers. Some US states treat this as biometric information (privacy policy) |
| Derived data | Privacy Policy: Fireflies may create de-identified and aggregate data. Terms: Fireflies may derive usage and statistical data from User Content to analyze and improve the Services (privacy policy, terms) |
| Subprocessors | Listed at trust.fireflies.ai/subprocessors |

Does Fireflies train on recordings
The search does Fireflies train on recordings usually mixes three layers:
- Foundation-model training. Does Fireflies feed your MP3 or transcript into GPT-class weights, or allow OpenAI / Anthropic to do that?
- Product improvement. Does Fireflies keep derived or de-identified signals to improve features?
- Storage. Even if nobody trains, does Fireflies keep the recording in a workspace you do not fully control?
Fireflies’ current public docs answer (1) with no. They answer (2) with derived / de-identified / statistical language that is not the same as “we train generative models on your calls.” They answer (3) with yes: the product is a cloud library. Training policy and retention policy are different controls.
Compare Otter, which documents proprietary training on de-identified audio and transcripts (is Otter.ai safe). Do not copy Otter’s training story onto Fireflies. Use each vendor’s pages.
What the Privacy Policy and Terms say
Privacy Policy, Use of Information (6 March 2026): Fireflies uses collected information to provide and improve the Services, including capturing recordings and generating transcripts and summaries. In the same paragraph: “We do not use personal information for AI model training and we contractually prohibit our vendors from using this information for their own model training.”
Data Retention in the same policy applies a Zero Data Retention rule to meeting content (audio, video, transcripts, summaries) as it relates to third-party vendors: not stored by the vendor after processing, not accessed after the service completes, not used to train internal or external AI models.
Help article (keeping information safe, checked September 2026): heading “No AI Training. Ever.” Names OpenAI and Anthropic among partners under “Zero Day Retention” vendor agreements. Internal Fireflies staff do not have default access to meeting content; support access needs explicit permission.
Terms of Service: Fireflies will not use User Content to train, retrain, fine-tune, or otherwise improve generative AI models. You must have permission from other people on the recording. Inputs and outputs of AI features remain your User Content.
Security marketing page: “You own your data. We don’t train on it by default unlike other AI companies.” That “by default” is softer than the Privacy Policy. If you are writing a vendor review, cite the Privacy Policy and Terms, not the slogan, and re-check the date.
The Privacy Policy also says it does not apply to User Content processed on behalf of business customers; those deployments sit under the Terms, DPA, and the customer’s agreement. Enterprise paperwork can add or change duties. Ask Fireflies or your admin for the DPA that actually applies.
Zero retention for vendors, not an empty Fireflies library
“Zero Data Retention” in Fireflies’ wording is about vendors and partners after they finish a processing job. It is not a promise that Fireflies itself discards the meeting when the transcript appears.
Fireflies’ product is built to keep recaps, recordings, and transcripts so you can search, share, and run conversation features later. Admins can set retention and access. Enterprise Private Storage is described as a locality option, not the default for every plan (security, keeping information safe).
If you close your account, the Privacy Policy says personal information related to the account is deleted within 30 days. If you only sat in someone else’s recorded meeting, Fireflies tells you to ask the host to delete that recap.
A “no training” clause does not remove the bot from the participant list, and it does not move the file onto your Mac.
Voice data and derived data
The Privacy Policy describes Voice Data: service providers may use recordings to extract characteristics so speakers can be separated. Fireflies says providers do not use Voice Data to identify or authenticate people, and Fireflies never receives or processes Voice Data on its own servers. Illinois BIPA-style language appears in the same policy, with a retention-and-destruction schedule for that class of data.
Separately, Fireflies may create de-identified and aggregate data that cannot reasonably be linked to you, and the Terms allow usage, statistical, and other data derived from User Content for internal business purposes, including analyzing and improving the Services.
Plain-language read: Fireflies currently documents no generative-model training on meeting content, while still allowing non-identifying derived analytics and vendor-side voice feature extraction under those contracts. If your review forbids any secondary use, read the DPA and the subprocessor list; do not stop at the security headline.
The bot and where audio goes
Fireflies is known for a notetaker (often Fred / Fireflies.ai Notetaker) that can auto-join calendar meetings on Zoom, Google Meet, Microsoft Teams, and other platforms. Desktop “Take Notes” without a bot is a different capture path Fireflies documents elsewhere; it is not the default story people mean when they ask about training.
Audio and video of enabled meetings are meeting and call information in the Privacy Policy. They go to Fireflies’ service and to vendors who analyze recordings. Encryption is described as AES-256 at rest and TLS 1.2+ in transit (keeping information safe).
A visible bot helps disclosure. Many client and IT policies still forbid the extra participant. See meeting notes without a bot and Fireflies alternative.

Auto-join is a different control than training
Fireflies’ no-training statements do not disable calendar auto-join. When that setting is on, the notetaker can still enter enabled meetings and copy audio to Fireflies’ service. Check workspace rules for the notetaker name, which meetings are in scope, and whether each platform requires host approval. Fireflies documents bot behavior on its security and help pages; the admin toggles are documented there.
What Fireflies publishes on security programs
Fireflies’ security and help pages state SOC 2 Type II, GDPR, HIPAA (with BAA language), FERPA (with DSA language), Private Storage on Enterprise, SSO, and a bug-bounty program. Those are Fireflies’ statements. This article does not certify them. Vemoir does not claim HIPAA, GDPR, nLPD, privileged, or certified status for Fireflies or for your recording.
Consent and retention for other people’s voices remain yours.
When Fireflies is often the better choice
Stay on Fireflies when you want a shared cloud library, calendar join, CRM-oriented search, and admin retention rules, and your organization has already accepted a US-oriented SaaS notetaker (or paid for Private Storage). In that world, does Fireflies train on recordings is a settings-and-contract check, not a reason to rip out the workspace. Re-read the Privacy Policy date, the DPA, and auto-join rules.
When a local Mac workflow fits better
Choose local capture when keeping audio off vendor servers by default matters more than a team archive:
- Vemoir for Mac records system audio and microphone on the Mac, with no bot (how it works).
- Transcription stays on-device. Cloud text models are opt-in, text-only, with your key (capture).
- For a file you already have, /tools/transcribe-recording runs in the browser without uploading to Vemoir (15 minutes, three runs per week, no speaker labels).
Fireflies optimizes for conversation intelligence in a cloud workspace. Vemoir optimizes for local records and explicit export. Neither page makes the other “unsafe.” They solve different constraints.
If the next call cannot include a notetaker bot or a vendor copy of the audio, record it on your Mac.
Frequently asked questions
Does Fireflies train on recordings today?
According to the Privacy Policy (6 March 2026), Terms, and the September 2026 help article, Fireflies says no for meeting content and personal information used to train internal or external AI models. Re-check those URLs; policies move.
Why does the security page say “by default”?
The marketing line is weaker than the Privacy Policy. For a review, quote the policy and Terms. If the two diverge after an update, ask Fireflies which document wins.
If Fireflies does not train, is my audio still stored?
Yes, unless you delete it or an admin retention policy removes it. Zero retention in Fireflies’ docs is about vendors after processing, not about an empty Fireflies account.
Can OpenAI or Anthropic train on my Fireflies meetings?
Fireflies states vendor agreements and zero retention forbid that. You still send content through those vendors to produce features. That is processing, which Fireflies distinguishes from training.
Does Fireflies use voice biometrics?
The Privacy Policy describes Voice Data extracted by service providers for speaker differentiation, not held on Fireflies’ own servers, with extra language for certain US biometric laws. Read that section if your jurisdiction cares.
Does “no training” mean no bot?
No. Training policy and participant visibility are separate. Many Fireflies setups still join as a guest.
Does this prove GDPR or nLPD compliance?
No. Fireflies publishes GDPR and other program language. This article does not apply those programs to your processing, and Vemoir does not claim compliance for anyone.
What is a workflow with no vendor training surface and no upload?
Keep the file on the Mac. Use Vemoir for live capture or import, or the browser tool for a short file. Browser limits: 15 minutes, three runs per week, no speaker labels.
Next step
Read Fireflies’ current privacy policy, terms, and keeping information safe article before the next auto-join. If vendor copies are out of scope, use the Mac app or the free tools.
